Fall 2026 Tryout Privacy Notice

Information we collect

We collect the player’s name and date of birth; baseball positions, pitcher interest, current team or league, and optional baseball-only notes; the parent or guardian’s name, phone, and email; consent evidence; and a parent-selected referral source or limited campaign tags. If a player attends, authorized evaluators may add tryout scores, observations, and an evaluation status.

Do not submit medical information, school information, a home address, a birth certificate, a child’s email or phone number, photos, or payment information through the tryout form.

When someone visits the tryouts page, we record the time, page, a random browser-tab session identifier, limited campaign tags, and the referring domain. This anonymous traffic record does not contain an IP address, precise location, name, email, player information, form values, or a registration identifier, and it is not linked to a tryout submission.

How we use it

We use the information only to verify age and roster eligibility, schedule and run evaluations, communicate with the parent or guardian, evaluate team fit, administer the Fall 2026 evaluation process, protect the form from abuse, and understand website traffic and recruiting channels in aggregate.

Who handles it

Access is limited to authorized Waves organizers and evaluators who need it for the purposes above. Our service providers include Vercel for website hosting, Supabase for protected database storage, and Resend for a minimal operational alert. The alert contains an opaque registration reference, not the player’s details.

This form does not automatically send applicant information to Team Francisco. If information must later be shared with a facility or evaluator beyond authorized Waves operations, we will limit it to what is necessary and provide additional notice or obtain consent when required.

No sale or targeted advertising

We do not sell tryout information, use it for targeted advertising, or install advertising pixels, cross-site tracking, or session-replay tools on the tryout form.

Retention

Unless a legal hold, safety issue, dispute, or insurance requirement applies, we delete non-selected, withdrawn, no-show, and waitlist applicant information within 90 days after the Fall 2026 roster is finalized. For accepted players, we transfer only the information needed for protected team operations and delete the duplicate tryout record within 30 days. Anonymous traffic and campaign data is deleted, aggregated, or deidentified within 30 days after the recruiting campaign ends.

Parent choices

A parent or legal guardian may ask to access, correct, withdraw, or delete a tryout submission. We may request reasonable information to verify the requester’s identity and relationship to the player. A valid legal hold or recordkeeping duty may delay deletion; if so, we will explain that.

Security

We use restricted administrative access, encrypted network connections, and service providers with access controls. No system can guarantee absolute security, so we collect only the information needed for the tryout process.

Changes

If we materially change how tryout information is used, we will update the effective date and provide notice appropriate to the change. A new use that requires consent will not rely on the consent given for this version.
